Archiving employees is a great way to keep your active employee list clean without totally deleting an employee.
Archiving allows you to:
- Preserve historical employee information
- Reactivate archived employees if they are rehired
Archiving an Active Employee
- Navigate to your list of all employees.
- On the table row of the employee you'd like to archive, click the grey gear and select the green "Archive" button.
- This will open a modal that will walk you through archiving the employee. It will allow you to:
- Reassign this employees subordinates to another supervisor
- Set a termination date and a reason for leaving
- On the last step, you'll type archive and click the "Archive" button in the bottom right corner of the modal.
From now on, this archived employee can be accessed by clicking "Employees" in the main nav and selecting "Archived" in the subnav.
If you have Results
When you archive an employee, we have to clean up Results accordingly. This means we will:
- Delete any unsubmitted approvals that would come to them
- For any approvals that are currently submitted to them, we will delete each one and reset the containing approval queue
- Remove them from any default approver settings
Restoring an Archived Employee
- Click "Employees" in the main nav and select "Archived" in the subnav.
- On the table row of employee you'd like to restore, click the grey gear icon and then click the green "Restore" button
- This will open a form with all the employees information which you can update
- In the top left corner, click the green "Save" button
This employee and all its historical information will now be restored!
Deleting an Archived Employee - like, forever
- Click "Employees" in the main nav and select "Archived" in the subnav.
- On the table row of employee you'd like to restore, click the grey gear icon and then click the green "Delete" button
- In the modal that opens, type delete forever
This will irreversibly delete the employee from your system. It will help clean things up, but we will not be able to recover this employee's information moving forward! So tread lightly :)
