      How to Convert Notes into Comments

      While notes are handy throughout the year, many of our clients require some or all to be converted to comments before the plan is finalized. We've made that process quick and easy!

      • Company administrators, Supervisors, and Employees can all access BalancedResults.
      • You can only convert Notes that you authored. 
      • You cannot currently convert a Comment back into a Note. 
      • Comments can viewed by anyone with plan access. Notes are not visible to the employee.
      • Once Notes have been converted into Comments, those will be immediately visible to the employee.

      • Notes that are not converted to comments will permanently remain invisible to the employee.

       

      A Word of Caution

      Notes cannot be converted to comments after the plan is submitted for final approval, and therefore locked.

      Prior to final approval, the supervisor can edit the notes and select the option for them to be converted when the review is fully completed.

      How to Convert a Note to a Comment

      1. Click on the edit icon on the right side of the note you want to convert into a comment. step 1
      2. In the “Edit Note” modal that appears, select the dropdown menu under “Convert to Comment”.Step 2
            Three options are available: 
            • Never - The note will never be converted into a comment.
            • Right Now - The note will immediately become a comment.
            • After the review is completed - The note will become a comment after the performance review is completed, meaning it will stay hidden until you hold your final review with the employee.
          • Once you have selected your desired option, click the Save button.
          • If you selected “Right Now” in the previous step, you will see that the note you selected now appears as a comment, like so:Screenshot 2025-02-10 at 2.39.24 PM

          How to Convert all Notes to Comments

          1. Select Plan Content from the plan whose notes you want to convert.

          2. Next, click on Admin Actions and choose Convert my Notes into Comments.

          3. A modal will appear with three statements that are required to be selected before you are able to move to the next screen:
            1. You are about to convert (number of notes) into a comment.
            2. Your employee will now be able to see these comments, but they will not be notified about this update.
            3. This action cannot be reversed.
            Select all three boxes to confirm you understand, then select Submit.
          4. Ta-da! All Notes you've authored have been converted into Comments.

          Special Considerations

          Mass actions take time.

          Large/en masse actions can take some time to load in your system. Depending on how many notes are on a plan, you may need to wait 30 seconds and refresh the page.
